Who we are
Heat365 is a Gas Safe registered plumbing and heating business operating across Sheffield, Rotherham, Chesterfield, Barnsley, Doncaster and Worksop. We are the data controller for the information described in this policy.

What we collect and why
When you contact us
Our website contact form asks for your first and last name, email address and your message. The form sends your enquiry to us, and a copy may be kept securely in the website. If you call, email or message us on WhatsApp instead, we hold whatever you choose to tell us — typically your name, contact number, address of the property and a description of the work you need.
We use this only to respond to your enquiry, provide a quote, arrange an appointment and carry out the work. Our lawful basis is legitimate interests — responding to someone who has asked us to get in touch — and, once you book work, performance of a contract.
When we carry out work for you
If you become a customer we keep records of the job, including the property address, the work carried out, parts fitted, invoices and any gas safety or installation certificates. Some of these we are legally required to keep, and Gas Safe notification records are shared with the Gas Safe Register as part of that obligation.
When you browse the site
We use Google Analytics to understand how visitors find and use the site — for example which pages are read most and which areas people visit from. This produces statistics about visits rather than a profile of you by name.
Analytics cookies are only set if you accept them. Our lawful basis is consent, and you can withdraw it at any time using “Cookie settings” at the bottom of every page, or by clearing cookies in your browser.
The maps on our site are provided by Google Maps and only load if you allow them, or press “Load Google Maps” on a map. We keep a record of the cookie choice you make (a random ID, your choices and the date — not your IP address) for two years, so that we can show we asked for your consent.
Cookies
Cookies are small files stored by your browser. This site uses three kinds:
- Necessary cookies — required for the site and its forms to work, and to remember your cookie choice. These are always set.
- Analytics cookies — set by Google Analytics, only after you accept them.
- Maps — Google Maps sets its own cookies when a map loads. Maps only load if you allow them.
Our Cookie Policy lists each cookie this site uses. You can change your choices at any time using “Cookie settings” at the bottom of every page. You can also block or delete cookies through your browser settings. Blocking necessary cookies may stop parts of the site working properly.
Who we share information with
We do not sell your personal information, and we do not share it for anyone else’s marketing.
We share it only where we need to:
- Our website host and email provider, who store the data on our behalf.
- Google, which provides our analytics (only if you accept analytics cookies) and maps (only if you allow them).
- The Gas Safe Register, where we are required to notify work.
- Meta (WhatsApp), only if you choose to message us on WhatsApp.
- Our accountant and, where relevant, HMRC, for invoicing and tax records.
- Suppliers or subcontractors where this is necessary to complete your job.
- Anyone we are legally obliged to disclose to, or where it is needed to establish or defend a legal claim.
Some of these providers process data outside the UK. Where that happens, the transfer is covered by UK adequacy regulations or standard contractual clauses.
How long we keep it
- Enquiries that don’t become jobs — up to 12 months, then deleted.
- Customer and job records — 6 years after the work, to cover accounting requirements and the period in which a claim could be brought.
- Gas safety and installation certificates — for the period required by the relevant regulations.
- Analytics data — retained according to our Google Analytics settings, in aggregate form.
- Cookie consent records — two years.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal information we hold about you.
- Have inaccurate information corrected.
- Ask us to delete information, where we are not required to keep it.
- Object to, or ask us to restrict, how we use it.
- Withdraw consent where consent is the basis we rely on, such as analytics cookies or loading maps.
- Ask for your information in a portable format.
To exercise any of these, email info@heat365.co.uk. We will respond within one month. There is no charge.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we handle personal information we will update this page and revise the date at the top.
